An exciting opportunity has arisen for an Apprentice Receptionist/Operations Administrative Assistant within Falck Fire Services UK. The role will provide support in the following areas:

  • To provide support for Operations Administrative Assistance
  • To provide support to diary management
  • To organise travel arrangements, domestic and international
  • To provide outstanding levels of customer service to both internal and external customers
  • To provide support for Emergency Planning Department

Main Areas of Focus:

  • Greet and welcome visitors to the Offices between 8.00am and 4pm, ensuring they sign in the visitor’s book and informing the relevant member of staff of their arrival
  • Booking in Visitors at the VIC, first point of contact for visitors to HQ
  • Binding/printing/photocopying/daily email enquiries
  • Check and sign for deliveries, before informing the relevant member of staff of their arrival
  • Liaising with external customers, to anticipate and respond to their needs
  • Process and deliver internal and external mail daily
  • Monitor office stationary (stationery & training supplies) for staff and maintain adequate stocks
  • Answering and transferring internal and external phone calls – taking accurate messages and passing them on in a timely way
  • Uploading documents into Falck systems
  • Any other duties of a similar level and nature as may be required by the business
  • Adhere to all company policies, procedures and business ethics codes
  • Present a positive, professional image of the company with all customers and suppliers, internal and external
  • Assist in on site emergency exercises

The successful candidate will work towards a Level 2 or Level 3 Apprenticeship in Business Administration and will go through a preferred training supplier for this.

Skills/Qualifications:

Essential

  • The right candidate should have GCSEs at grades C/ 4 or above in English Language and Maths or equivalent.

  • Ability to work under pressure
  • Good IT skills (MS Office applications – Word, Excel, Powerpoint, Outlook, Internet)
